Terms of Service

Please read these Terms of Service carefully before using SafeRoster. By using our service, you agree to be bound by these terms.

1. Acceptance of Terms

By accessing or using SafeRoster ("the Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, please do not use the Service. These Terms apply to all users of the Service, including organization administrators, staff members, and parents or guardians.

2. Description of Service

SafeRoster is a cloud-based child check-in and check-out management platform designed for schools, daycares, churches, and event organizers. The Service provides tools for:

Registering children and parent/guardian information
Managing child check-in and check-out processes
PIN-verified secure pickup verification
Real-time staff notifications and dashboards
Attendance reporting and record keeping
QR code based check-in access

3. Account Registration

To use SafeRoster, organizations must create an account by providing accurate and complete information. You are responsible for:

Maintaining the confidentiality of your account credentials
All activities that occur under your account
Notifying us immediately of any unauthorized use of your account
Ensuring all staff members use the Service appropriately

You must be at least 18 years old to create an account and use the Service as an organization administrator.

4. Subscription Plans and Billing

SafeRoster offers the following plans:

Free Plan: Limited to 15 daily check-ins per organization. No credit card required.
Pro Plan: $29.00 per month per organization. Includes unlimited daily check-ins, attendance reports, CSV export, and priority support.

Paid subscriptions are billed monthly in advance. All payments are processed securely through Stripe. By subscribing to a paid plan, you authorize SafeRoster to charge your payment method on a recurring monthly basis until you cancel.

You may cancel your subscription at any time. Cancellations take effect at the end of the current billing period. We do not provide refunds for partial months of service.

5. Child Safety and Data Responsibilities

SafeRoster is designed with child safety as its highest priority. As an organization using our Service, you agree to:

Use the Service solely for legitimate child supervision and safety purposes
Ensure all staff members are properly trained on the check-in and check-out procedures
Maintain the security of classroom PINs and staff login credentials
Never share access credentials with unauthorized individuals
Comply with all applicable laws regarding the care and supervision of minors
Obtain appropriate consent from parents and guardians before collecting their personal information

SafeRoster provides tools to assist with child safety procedures but does not replace the professional judgment and responsibility of your organization's staff.

6. Privacy and Data Collection

SafeRoster collects and stores the following information to provide the Service:

Organization information (name, type, contact details)
Staff account information (email, encrypted password)
Child information (name, date of birth, parent/guardian details, emergency contacts)
Check-in and check-out records with timestamps
Pickup PINs (stored securely)

We do not sell your data to third parties. Data is stored securely using Supabase infrastructure. For more details, please review our Privacy Policy.

7. Acceptable Use

You agree not to use SafeRoster to:

Violate any applicable laws or regulations
Collect or store data about children without proper authorization
Attempt to gain unauthorized access to other organizations' data
Interfere with or disrupt the integrity of the Service
Use the Service for any fraudulent or deceptive purpose
Share your account credentials with unauthorized individuals

8. Data Security

SafeRoster takes reasonable measures to protect your data, including encrypted data storage, secure authentication, and PIN-verified access controls. However, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security of your data.

You are responsible for maintaining the security of your account credentials, classroom PINs, and any devices used to access the Service.

9. Limitation of Liability

SafeRoster provides tools to assist organizations with child check-in management. However, SafeRoster is not responsible for:

Any incidents involving children that occur while using or not using the Service
Unauthorized pickups resulting from compromised PINs or credentials
Data loss resulting from user error or third-party service outages
Any indirect, incidental, or consequential damages arising from use of the Service

To the maximum extent permitted by law, SafeRoster's total liability shall not exceed the amount paid by you in the three months preceding the claim.

10. Service Availability

We strive to maintain high availability of the Service but do not guarantee uninterrupted access. We may perform maintenance, updates, or experience downtime beyond our control. We will make reasonable efforts to notify users of planned maintenance in advance.

11. Termination

SafeRoster reserves the right to suspend or terminate your account if you violate these Terms or engage in conduct that is harmful to other users, children, or the Service. You may terminate your account at any time by contacting us at hello@saferoster.app.

Upon termination, your data will be retained for 30 days before being permanently deleted, unless required by law to retain it longer.

12. Changes to Terms

We may update these Terms from time to time. We will notify you of significant changes by email or through the Service. Your continued use of the Service after changes take effect constitutes your acceptance of the updated Terms.

13. Governing Law

These Terms are governed by the laws of the State of Texas, United States, without regard to its conflict of law provisions. Any disputes arising from these Terms shall be resolved in the courts of Texas.
